Electronic Prescribing in Helix

Setup Requirements

eRx Script Exchange

Prior to sending an Electronic Prescription, your site must be registered with eRx Script Exchange. If you are not already registered, and have an active account, please contact MedicalDirector Customer Support to assist with the setup.

User Setup

o      It is a requirement that all prescribers provide their qualifications. This is recorded via User Settings.

 

Patient Setup

o      Your site has acquired and imported the necessary Government-issued certificates (Medicare, HI and NASH certificates) in order to retrieve IHI numbers for patients.

Any patient wishing to participate has an IHI number recorded.

o      Patients are automatically opted into Electronic Prescribing. To opt the patient out, update their preferences in the patient details.

 

HPI-O Certification

Prior to sending an Electronic Prescription, the Centre HPI-O certificate number needs to be added to the Centre Settings (accessible via the System Administrator login)

Mandatory Information

Prior to sending an Electronic Prescription, the following prescriber-specific fields need to be updated and saved in the User Settings (accessed via the System Administrator login)

 

Enabling Electronic Prescribing

Any practitioner wishing to participate has enabling Electronic Prescribing in their Preferences settings.

 

Key Workflows

Sending a Script

1.      Complete the prescription details.

o      Click the “Save & Send” button.

 

 

2.      Select delivery method (SMS, Email or Printed Token)

o      Add patient’s SMS or Email (if applicable)

o      Preview prescription details

o      Click “Send”

 

 

3.      Re-Authentication is required for prescribing controlled substances in NSW, TAS and WA.

o      Enter Helix username and password

o      Click “Authenticate”

 

 

Resending a Script

Reissuing a script can be done via the actions panel in an active consult, or via the prescription details in the patient timeline.

From the Actions Panel:

1.      Hover your mouse over the prescription in the actions panel

2.      Click the “Resend” button

3.      Add/update delivery method details

4.      Preview prescription details

5.      Click the “Resend” button

From the Timeline:

1.      Select the prescription from the “All Past History” or “Prescription” filters

2.      Click the “Resend” button

3.      Add/update delivery method details

4.      Preview prescription details

5.      Click the “Resend” button

Deleting a Script

Deleting a script can be done via the actions panel in an active consult, or via the prescription details in the patient timeline.

From the Actions Panel:

1.      Hover the mouse over the delete button in the actions panel

2.      Click the “Delete” button

From the Timeline:

1.      Select the prescription from the “All Past History” or “Prescription” filters

2.      Click the “Delete” button. Please note, the medication will remain as a current medication in the Health Summary.

  

 

Viewing Script Details in the Audit Log

Prescription details can be viewed in the settings, using the System Administrator login credentials

1.      Login using the System Administrator login credentials

o      Select Audit, under Centre settings

 

 

2.      Filter by ElectronicPresciptions and applicable Centre

o      Add additional filters if applicable

o      Click on “Search”

 

 

3.      View results

o      Click on result entry to view the prescription meta data

Interval (Days)

When an item is a Schedule 4B (NSW) or Schedule 4D (TAS) medication (e.g. TESTOSTERONE CREAM), altering the number of repeats activates the ‘Interval (Days)'. This is existing behaviour for S8 items but was expanded to include the S4B and S4D. This is a mandatory requirement for Electronic Prescription, please ensure you enter the details if required.

Authorisation Reference Number

State/Territory law required you to hold an 'authority' to prescribe this medicine. For more information, contact your local health office as requirements vary between jurisdictions. If applicable, for PBS/RPBS Authority numbers for cost subsidy, please enter the details in the Description Field. There will be a new field specific for this being released soon.

Unusual Dose

Where the prescription contains an unusual dose, the prescriber must check the checkbox. This is a mandatory field if applicable.

Script Owing

When an item is marked as 'Script Owing', only paper tokens will be permitted as Electronic Prescriptions (no SMS or email).

Note to Pharmacist

This field is only for electronic prescribing. A Prescriber can choose to include a note to the pharmacist in the prescription payload sent to the dispensing software.
