Managing Medications in My Health Record

This guide explains how to upload a patient’s medications to their My Health Record from within Clinical. It also explains how to download a history of a patient’s medications from their My Health Record, and save it in Clinical.

This guide is designed for users with a working knowledge of Clinical, and the My Health Record system.

The functionality described within requires that your Practice, Practitioners/Users, and Patients are already registered/configured for My Health Record.

Configuring Clinical

Ensure Clinical is configured for;

o      My Health Record

o      MD Exchange

o      ePrescribing

 

Configuring User Records

1.      Select Users > Setup User to access the User Database.

2.      Locate and double-click the user record you wish to configure.

3.      Ensure the Participate in My Health Record check box is ticked. This is ticked by default.

Uploading Medications to My Health Record

There are two methods for uploading medications to the patient’s My Health Record, as explained below.

 

Method 1: During the Prescribing Process

The Enter Dose window includes a check box for indicating whether the patient has granted consent to upload the prescribed medication to the My Health Record.

 

This check box is ticked by default, unless the patient has set their record privacy to 'non-advertised' via the My Health Record consumer portal (a check for this setting is made upon opening the patient's record in Clinical). If during the consultation the patient changes their mind, and grants consent to upload a given medication to their My Health Record, you can tick this check box now. Under such circumstances, patient consent must be granted per medication i.e. this check box will be un-ticked for subsequent medications until such a time as the patient logs onto the consumer portal and changes their record privacy.

Prescriptions approved for uploading to the My Health Record System in this manner are transferred automatically when you print the script.

 

Method 2: Via the Current Rx Tab

A prompt appears allowing you to indicate if the patient agrees to that prescription item being sent to their My Health Record. Scripts approved for uploading to the My Health Record System in this manner are transferred automatically when you print the script.

 

Viewing Medications Saved to the Patient’s My Health Record

1.      Within the patient’s record, click the My Health Record button.

 

2.      The My Health Record window appears. Select the Prescription and Dispense View tab. Upon selecting this tab, the patient’s current My Health Record medications list will be retrieved and downloaded to Clinical.


Any medications that you have flagged to be uploaded to the patient’s My Health Record should appear in this window within minutes of printing the associated script(s). Each tab is refreshed whenever it is first opened and also whenever you click the Filter button on the Prescription and Dispense View tab.

 

To View a Medication on this Window

1.      First, expand the medication details by clicking the   button at the far-left side of the medication.

2.      Then, click the medication itself. The script details will appear in the lower section of the window.

o      There is generally a two-level hierarchy for the data displayed in this view.  

o      Single-click to expand the script hierarchy, and to view documents; when the mouse pointer hovers over a clickable line, the line turns red.

o      Depending on whether the Hide Preview or Show Preview button is shown, the document will be displayed full-screen or in the preview pane.

o      The Hide Preview/Show More buttons allow you to view a full-screen list or a full-screen CDA or a combination of both i.e. a list with a CDA preview. This functionality is also available to the My Health Record tab.

 

o      Prescription

o      Generic Name

o      PBS Item Code

o      Brand Name

No Group

Opens Letter Writer and presents you with the New dialogue window, prompting you to select a new CDA eHealth document to create.
Saves a selected document to the patient's record in MedicalDirector Clinical. The saved document will be available on the Documents tab within the Clinical Window, or the Letters tab in the case of a letter.

Downloading Medications from My Health Record to Clinical

1.      Within the patient’s record, click the My Health Record button.

 

2.      The My Health Record window appears. Select the Prescription and Dispense View tab. Upon selecting this tab, the patient’s current My Health Record medications list will be retrieved and downloaded to Clinical.

 

3.      Locate the medication you wish to save to the patient’s record, and click the   button to display the details of the medication. Then click the details (which become highlighted in red). An expanded view of the medication details will appear in the lower half of this window.

 

4.      With the details selected, the Save in MD button becomes available. Click this to save a copy of the medication to the patient’s record. Note that the medication record is only saved to the Documents tab of the patient’s record; it is considered a document, and cannot be used to re-prescribe from.
